Responsibilities:

  • Arrange and coordinate seminars, conferences, and other events.
  • Assist with staff consultations and grievance procedures.
  • Coordinate activities within the HR department to align with the organization’s goals.
  • Manage the flow of information within the team and direct daily operations.
  • Open and distribute mail and materials, and plan daily operations.
  • Review HR projects to ensure compliance with laws and regulations.
  • Establish and implement office policies and procedures.
  • Record and prepare minutes of meetings, seminars, and conferences.
  • Schedule and confirm appointments, manage contracts, and respond to inquiries.
  • Oversee report preparation and advise senior management on administrative matters.
  • Respond to employee questions and complaints, and order office supplies as needed.
  • Supervise office and volunteer staff and maintain filing systems.
  • Perform data entry and maintain digital databases.
  • Conduct basic bookkeeping tasks and evaluate work environments for safety and compliance.

Work Environment:

  • This position requires on-site work; remote work is not an option.
  • Work in a fast-paced environment that may involve tight deadlines and a large workload.

Qualifications:

  • Completion of a college, CEGEP, or other non-university certificate or diploma program lasting 3 months to less than 1 year is preferred.
  • 2 to 3 years of relevant experience in administrative support is required.
  • Proficiency in Google Docs, MS Excel, MS PowerPoint, MS Windows, MS Word, MS Office, Adobe Acrobat Reader, and Google Drive.
