Job Details:

Qualifications Needed:

  • Education: Secondary (high) school graduation certificate
  • Experience: Will train; previous administrative experience is an asset.

Responsibilities:

  • Arrange and coordinate seminars, conferences, and other events.
  • Assist with staff consultation and grievance procedures.
  • Coordinate HR department activities to ensure organizational goals are met.
  • Evaluate daily operations and motivate staff.
  • Plan and control budgets and expenditures.
  • Supervise other workers and establish/implement policies and procedures.
  • Train staff and record/prepare minutes of meetings, seminars, and conferences.
  • Determine and establish office procedures and routines.
  • Plan, develop, and implement recruitment strategies.
  • Schedule and confirm appointments and manage contracts.
  • Oversee training and development strategies and answer telephone inquiries.
  • Compile data, statistics, and prepare reports.
  • Respond to employee questions and complaints.
  • Order office supplies and maintain inventory.
  • Organize staff consultations and arrange travel itineraries.
  • Greet visitors and direct them to appropriate contacts or service areas.
  • Set up and maintain manual and computerized filing systems.
  • Type and proofread correspondence, forms, and other documents.
  • Perform data entry and provide excellent customer service.
  • Recruit and hire staff and maintain/manage digital databases.
  • Consult with clients post-sale to provide ongoing support.
  • Evaluate work environments and procedures to control or prevent issues.
  • Supervise office and volunteer staff.

Supervision:

  • Supervise 5-10 staff members in various areas of responsibility.

Experience and Specialization:

  • Computer and Technology Knowledge:
    • Proficient in Google Docs, MS Excel, MS Outlook, MS PowerPoint, MS Windows, MS Word, MS Access, and electronic scheduling tools.
  • Areas of Specialization:
    • Correspondence, reports and records, contracts, and invoices.

  • Security and Safety: Basic security clearance may be required.
  • Transportation/Travel Information: Public transportation is available.
  • Work Conditions: Ability to work independently in a fast-paced environment with attention to detail; must handle tight deadlines and large workloads with minimal supervision.
