About OGCA:

Job Overview:

The Administrative Assistant will report directly to the Operations and Engagement Manager, supporting the OGCA team with day-to-day administrative operations. This role is both reactive to member inquiries and proactive in soliciting member feedback to enhance service delivery.

Key Responsibilities:

Administrative Component:

  • Act as the primary contact for incoming and outgoing inquiries for the OGCA.
  • Arrange meetings, prepare agendas, and ensure proper setup (meeting rooms, audio-visual equipment).
  • Manage and update the Association Management System (AMS) and member profiles.
  • Handle administrative tasks including expense filings and acting as a liaison with internal and external contacts.
  • Assist with special projects and manage new membership applications and renewals.

Board and Committee Component:

  • Work with the Operations and Engagement Manager to create agendas for Executive, Board, and Committee meetings.
  • Act as recording secretary for all OGCA meetings.
  • Prepare correspondence and ensure accurate and timely distribution of meeting documents.

Staff Component:

  • Collaborate with OGCA staff on administrative tasks, external communications, mailings, and events.
  • Contribute ideas and participate in staff meetings.

Event Component:

  • Assist in staffing and coordination for events such as the OGCA Member Appreciation Luncheon, Women in Construction Gala Event, Annual General Meeting, and more.

Additional Responsibilities:

  • Oversee purchasing and distribution of CCDC Documents and Seals.

Qualifications and Skills:

  • Valid G driver’s license and access to a vehicle.
  • Professional demeanor with strong business and networking skills.
  • Proven administrative experience and ability to handle various digital tools (Excel, Word, PowerPoint, Adobe Acrobat).
  • Excellent communication skills and detail-oriented.
  • Ability to work independently and as part of a team, managing multiple simultaneous initiatives.
  • Willingness to work evenings and weekends as required.
